What database formats do you accept?
We need an electronic formatted database.  Please see our  Data Export page to find the accepted formats and learn how to create a database if you don't have one.

How do I export my database?
Go to our Data Export page and see if we have instructions for your database.  If you need further assistance, contact your TMA Marketing Consultant for step-by-step help.

Where do I send in my database?
Click here for database sending instructions.
Be sure to include your agency name and all contact information.  If you would like to request a 5 digit password, please do so in your e-mail.

How long does it take for my database to get uploaded into ClientBase Browser?
Typically 7-10 business days.  You will be notified via e-mail once it is loaded.

How do I add marketing information to my database?
Marketing information can be added to your database once it is loaded into ClientBase Browser. Then you can go into the database and check off the marketing codes for your clients.

Why does TMA encourage that I put in marketing data for my clients?
The TMA vendor sponsors are looking for agencies that hold targeted marketing data on their clients.  This shows an agency that is committed to nurturing and growing their client relationships.  Gathering marketing information on your clients is a great way to show them you care about their business.  It will make you different from the web companies (ex Orbitz) and increase your bookings and leads tenfold. 

Can I change or customize the marketing codes within ClientBase Browser?
Unfortunately no.  TMA has chosen to provide you with a comprehensive marketing code list that combines all possible information for all consortiums.  You will need to use these vendor approved codes for your marketing data.

How can I get help when using the ClientBase Browser database?
There are some excellent help files within the program itself at the top bar under help.  But you also get full support provided by TRAMS Inc.  Click here to go to the TRAMS support page.

Can I change my login and password?
You are unable to change your login due to TMA security issues.  However we can change your password.  Please send an e-mail to email@travelmarketingassociates.com, with Password Change in the Subject line. Be sure to include your old password and the one you would like to change to, as well as all of your agency identification information.  TMA will verify your identity and then notify you of the change.
 

How secure is my database?
TMA takes great care and concern when it comes to Internet Security.  The TMA ClientBase Browser is protected with Verisign SSL secured site licensing which verifies that your data can only be accessed via the secured login process.  For information about the Verisign secure license click here.  The security features in the ClientBase Browser protect your system when it's being housed on the server and when you're typing in essential data such as client credit card information.

Will my client information be shared with anyone?  Who will have access  to my database?
Your database is the most valuable thing an agency owns.  TMA has a strict privacy policy that your data will only be accessed by individuals that have your login and password.  We sign this agreement with all agencies when hosting their database.  TMA will be accessing your database for two reasons:  to query the client data for an e-mail broadcast and to tag the client profiles for tracking.  The client selection process will be done via the marketing codes within ClientBase Browser.

What logo formats do you accept?
TMA accepts only .gif or .jpg image files.  These are web formatted images.

Where do I send in my logo?
Please send your logo into logo@travelmarketingassociates.com 
Be sure to include your agency name and contact information.  We do not accept physical discs or CD's, all logos need to be sent in via e-mail.  If you need assistance with this, contact your TMA Marketing Consultant for step-by-step help.

What will my HTML e-mail look like?
TMA will send you an HTML e-mail to approve your logo and agency information which will be inserted into the the offer template.  Once approved, this will be the standard that TMA will use for all promotions that you order.

What will my promotions look like in my client's inbox?
Your clients will receive the promotions as if they came directly from your office.  They will have your selected From e-mail address and agency name in the inbox.  TMA will copy you on all broadcasts ordered for your clients so you will see exactly what the client gets.

What happens if a client replies to my promotional e-mail?
The e-mail will get sent directly to the From e-mail address that you sent to TMA for broadcasting. (example info@startravel.com)  You can then reply directly back to the customer.

What happens if a promotion is sent to a bad e-mail address?
All returned e-mails including bad addresses, full mailboxes and vacation messages will get sent directly to the From e-mail address that you sent to TMA for broadcasting. (example info@startravel.com)  You can then go into your ClientBase Browser database and update the addresses.  Each agency is responsible for keeping their database updated.

Why could my broadcast totals seem much less than my database holds overall?
The TMA e-mail promotions are sent out to your clients using the marketing code data that is housed in their profiles.  TMA works with the vendors to get the ideal marketing codes for each offer.  Then we query your database on this targeted criteria, the clients that match this criteria are going to receive the e-mail promotion.  It's also possible that your database might not have enough e-mail addresses.  We suggest that you consistently verify the accuracy and validity of your e-mail addresses to keep your database clean.  You will need to confirm with us if you want promotions sent based on the marketing codes within the ClientBase Browser.

How do I tell which clients received the e-mail broadcasts?
TMA installs tracking "Mailer" tags in the client's profile once they are sent an e-mail promotion.  To view these, look in the Activities area of the client's profile.  You can also pull a query for the tags and find all of the clients that received a particular promotion.
